You and Kairo agree the exact checklist at kickoff. These are the operating stages it covers.
- 01Scope and access
Agree record counts, source files, credentials, owners, exceptions and the written checklist. The clock starts when the required data and access are complete. At the end of this stage you have a signed checklist naming every record in scope.
- 02Records and rates
Import and reconcile the agreed clients, drivers, vehicles, forward bookings and balances. Rebuild rate cards and verify historic samples. You receive a reconciled record count and a rate-card sample matched against real historic jobs.
- 03Office and drivers
Run two 90-minute office sessions and prepare the driver app before the first live shift. You end this stage with a team that has used Kairo and drivers set up on the app.
- 04Parallel live week
Run Kairo beside the current system so live work can be checked without retiring the existing record yet. You receive a week of matched daily sheets showing that Kairo priced and recorded live work correctly.
- 05Handover
Test export and rollback, record remaining exceptions and sign the written go-live handover. You receive the signed handover document and a tested export of your data as the retained record.

What the parallel week and training actually involve.
The clock and the checklist only mean something once the day-to-day work behind them is clear.
One live week, every booking in both systems. You switch off the old one only after you sign handover.
Both systems run at the same time, so nobody commits to Kairo alone until the operator has proven it. You enter new bookings for the week in Kairo only, while your team keeps actioning existing forward bookings as normal. Kairo checks each day's sheet against the current system before the day closes, so you catch a mismatch immediately rather than after go-live.
Two 90-minute office sessions cover dispatch, quoting and invoicing for the team who will use Kairo day to day. Kairo sets drivers up on the driver app before their first live shift, so job assignment, navigation and completion are familiar before the parallel week begins rather than during it.
The 14-day delivery clock only runs while Kairo is waiting on Kairo. It pauses when the operator has not supplied data in the agreed format, or when a decision needed from the operator, such as a rate sign-off or scope approval, is outstanding. The written checklist records when the clock is running and when it is paused.

Standard support will still explain documented features and investigate product faults. It does not migrate or clean your data, rebuild or verify rate cards, configure integrations, train your team, run a parallel week, manage go-live or guarantee an activation date.
